A property management chatbot is AI software that answers renters, tenants and landlords in chat, books viewings and meetings, and writes up tenant requests for the people who fix them.
A property manager hears from three groups. People looking for a rental want answers about rent, pets and move-in dates. Tenants who already live in your buildings want a problem fixed or a question answered. Landlords want to know whether you can let or manage their property. HiQBot works out which of them it is talking to, answers from your own listings and building rules, and hands each one to the right desk. It is the rentals side of HiQBot’s real estate chatbot, and it answers on website chat, WhatsApp, Instagram, Messenger, Telegram and LINE.
Each kind of message needs its own questions and its own next step. A rental property chatbot that asks a tenant with a leak about their budget wastes the tenant’s evening and your team’s morning.
Move-in date, the rent they can pay, how many people and any pets. The next step is a viewing, or their brief passed to an agent with rentals that fit.
The property, what went wrong and a contact, written up for your team so nobody has to ring back to ask which flat it was.
Whether they want it let, managed or both, and when it is free. The next step is a valuation or a meeting with your lettings team.
Notices your team sends on WhatsApp to the tenants who need them, with every reply landing back in the chat.
Rentals
Renters ask the same things in the same order: is it still available, what is the rent, can I bring my cat, when can I see it. The chatbot answers from your rental listings and building rules, then asks the questions your lettings team needs before a viewing: when they want to move in, what rent they can pay, how many people are moving and whether there are pets.
The viewing lands in your dashboard and on Google Calendar. Renters can move or cancel it in the same chat, and the calendar follows. Automations can confirm the booking straight away and send a reminder before the viewing, in the existing chat or as an approved WhatsApp template, so fewer people forget to turn up.
Tenants
A tenant with no hot water at seven in the morning wants to tell someone once. The chatbot takes the property and unit, what went wrong, what they have already tried and a contact number. Where support tickets are part of your setup, it opens a ticket and gives the tenant a reference number in the chat; otherwise it logs the request for your team.
It never promises a repair date or names a contractor. Those decisions stay with your property manager, who opens the request with everything already written down. When the tenant asks later where things stand, the reference number is enough. How tickets work.
No hot water in the apartment since this morning
Water heater switch is on and the breaker has not tripped. Cold water works. Tenant is home after 5 PM for a visit.
Landlords
A landlord enquiry is often worth more than a dozen rental ones. The chatbot for landlords asks whether they want the property let, managed or both, what it is and when it is free, and offers a valuation or a meeting with your lettings team.
Many owners live in another country and write when it suits them. The meeting is booked for the time they asked for and lands on your lettings team’s calendar with the property already described.
Import your tenants with a CSV and each import becomes a tag. Pick the tenants whose leases end in January, choose an approved WhatsApp template, attach the renewal terms as a PDF if you like, and send. The same works for a water shutdown, a lift service or a change to parking.
Every reply comes back to the chatbot, which answers questions about the terms from your documents and books a call when a tenant wants one. By default a broadcast only reaches people who have messaged your number before, anyone who replies STOP is left out of the next one, and consent stays your responsibility. Nothing is sent on its own because a lease date arrives: your team chooses when. See how WhatsApp broadcast works.
Hi Jessica, your tenancy at Marina Crest Tower ends on 31 January. The renewal terms are attached. Reply here with any questions or to book a call.

In Dubai, Abu Dhabi and Riyadh, many tenants and landlords message their property manager on WhatsApp, often late in the evening and often from abroad. Khorline, the Dubai property manager in the examples on this page, gets rental enquiries from renters who found a unit on a listing portal and then wrote to its WhatsApp number, tenant requests from the towers it manages, and landlord enquiries from owners in London and elsewhere.
The chatbot replies in the language each person writes in, with nothing to set up, and books every viewing and meeting at the time the client asked for. Portal enquiries count when the renter messages you: HiQBot does not connect to listing portals, Ejari or property management systems.
Every WhatsApp number you connect lands in the same inbox as your website chat and Instagram, so a manager covering three buildings sees every tenant thread in one list. When a tenant asks for a person, someone from your team takes over the same chat and sees everything said so far. How live chat works.
Overnight messages wait in the inbox with the details already taken, ready for the morning shift.
Give tenants a short guided flow when they message your WhatsApp number: report a problem, ask about rent or book a viewing. Each button starts the right questions, and any free-typed reply can go to the AI or to your team. Guided flows run on WhatsApp, Instagram, Messenger, Telegram and LINE; website chat opens with tappable suggestions instead.
Hi, this is Khorline. What can we help with today?
Choose it when you set up your agent, and say in your profile that you handle rentals, lettings and management.
Upload rental listings, building rules, pet and parking policies and how rent is paid, or link a Google Sheet of available units.
So every viewing and landlord meeting shows on the calendars of the people who will be there.
Add a short WhatsApp menu for the requests tenants send most, and switch on booking confirmations and reminders.
Lettings enquiries to one desk, tenant requests to another, and the details each one needs before a person takes over.

A property management chatbot is AI software that answers renters, tenants and landlords in chat for a property manager or letting agent. Yes. It asks when the renter wants to move in, what rent they can pay, how many people are moving and whether there are pets, then books the viewing into your dashboard and Google Calendar. Renters can move or cancel it in the same chat, and the calendar follows.
It takes the property, what went wrong and a contact. Where support tickets are part of your setup, it opens a ticket and gives the tenant a reference number in the chat; otherwise it logs the request for your team. It never promises a repair date or names a contractor.
Your team can. Import tenants with a CSV, tag the ones whose leases are coming up, and send an approved WhatsApp template, with a notice PDF attached if you like. Replies come back to the chatbot. Nothing goes out on its own because a lease date arrives.
No. HiQBot takes no payments of any kind in the chat. It can answer when rent is due or how to pay from the rules you upload, and send a payment question to your team, but money moves the way it does today.
No. It does not sync with property management systems, Ejari or listing portals. You give it your listings and building rules as documents, a spreadsheet or a linked Google Sheet. Bookings go to Google Calendar, and contacts and deals can go to HubSpot.
Website chat, WhatsApp, Instagram, Messenger, Telegram and LINE, all into one inbox. On WhatsApp you can also give tenants a short menu of buttons, such as report a problem, ask about rent or book a viewing, so common requests start in the right place.
Whatever language the tenant or renter writes in, with nothing to set up. Your team reads every conversation in the one inbox, whatever language it is in.
No. It works in writing only. A tenant or landlord who would rather talk can ask for a callback with a time and a topic, and someone from your office rings them.
Yes. When a tenant asks for someone, or the problem needs one, a member of your team takes over the same chat and sees everything said so far. Outside your hours, the chatbot says when the office is back and keeps the details for the morning.
Upload a few rental listings and your building rules, send it the questions your tenants send you, and watch the viewing and the request land in your dashboard before you pay for anything.
