Customer experience software in 2026: the seven types and how to choose

Customer experience software is any tool a business uses to understand, serve and keep its customers: surveys, helpdesks, AI chat and messaging, CRM, social and review tools, customer success and journey analytics. No single product covers all seven well, so most teams combine two or three, chosen by where customers struggle most.
We make HiQBot, a conversational platform, so read this guide knowing that. We kept it fair in two ways. What we say about each tool comes from that vendor's own product page, read on 31 October 2026, or from the G2, Trengo, Help Scout and Featurebase lists we read the same day. And we say plainly which jobs HiQBot does not do. We left prices out because they change, and most of the product pages we read show none.
What is customer experience software?
Customer experience software, often called a customer experience platform, covers every tool that shapes how a customer feels about dealing with you, from the first question to the renewal. G2 does not even treat it as one product type: its customer experience category is made of products from other categories, such as surveys, CRM, social media suites, reputation management and customer success.
That is why searches for customer experience management platforms return such different products. A survey suite, a helpdesk and an AI chatbot can all fairly call themselves customer experience tools. The useful question is narrower: which part of the customer's experience is going wrong, and which kind of tool fixes that part?
Customer experience management software, customer service software and CRM
The three overlap, but they answer different questions. Customer experience management software asks how customers feel and why, usually through surveys, feedback and analytics. Customer service software handles the individual request: the ticket, the chat, the refund. A CRM keeps the record of who the customer is and what they have bought or been sold.
A small business usually meets customer experience through customer service first, because the problem it can see is the unanswered message. Digital customer experience management, with journey maps and survey programmes, tends to come later, once there is a team to act on what it finds.
The seven types of customer experience software
Most lists rank twenty tools without saying what each is for. This map groups them by the job they do. The example tools are the ones that came up most often in the guides and category pages we read.
| Type | What it does | Example tools | Who needs it |
|---|---|---|---|
| Surveys and voice of the customer | Asks customers what they think (NPS, CSAT, open feedback) and analyses the answers | Qualtrics, Medallia, SurveyMonkey | Teams that need to measure satisfaction across the whole business |
| Helpdesk and ticketing | Turns requests into tickets with owners, priorities and service levels | Zendesk, Freshdesk, Help Scout | Support teams handling a steady queue of email and form requests |
| Conversational CX: AI agents, live chat and messaging | Answers customers in chat on the website and messaging apps, with AI first and people behind it | Intercom, HiQBot | Businesses whose customers write rather than call or email |
| CRM and service hubs | Keeps the customer record, deals and service history in one system | HubSpot Service Hub | Teams that want sales and service on one customer record |
| Social and reputation | Handles public channels: social messages, reviews and mentions | Sprinklr, Birdeye | Brands with heavy social volume or many review sites |
| Customer success | Tracks account health and renewals for subscription businesses | Gainsight | B2B software companies with account managers |
| Digital experience and journey analytics | Shows how people move through a website or app and where they get stuck | Hotjar, Contentsquare, Qualtrics Digital Experience Analytics | Product and web teams fixing friction before it reaches support |
1. Surveys and voice of the customer
Qualtrics describes its customer experience product as bringing surveys, chat, email, digital behaviour and real-time feedback into one customer profile, with AI that predicts churn. Medallia calls itself an experience management platform that captures feedback across surveys, voice, chat, web and social, then routes alerts so someone acts on them. Both pitch to large organisations. A smaller team can start with a survey tool such as SurveyMonkey, which G2 lists under surveys.
2. Helpdesk and ticketing
Zendesk describes its service software as connecting AI agents, human agents, knowledge and workflows across messaging, live chat, email, voice and social. Freshdesk describes omnichannel ticketing with automated workflows and names WhatsApp, Messenger, Instagram and LINE among its channels and integrations. Help Scout appears on both the Help Scout and Featurebase lists as a helpdesk for smaller teams.
3. Conversational CX: AI agents, live chat and messaging
This is conversational AI for customer experience: the tools that answer the customer in the conversation they started. Intercom sells an omnichannel helpdesk with its Fin AI agent built in, deployable across phone, email, chat and Slack. HiQBot answers on website chat, WhatsApp, Instagram, Messenger, Telegram and LINE, with an AI agent first and live chat behind it in one inbox.
4. CRM and service hubs
HubSpot Service Hub combines a help desk, live chat, SLA management, a knowledge base, a customer portal and feedback surveys (NPS and CSAT) on the HubSpot CRM record. It is the closest thing on this list to one tool doing several types at once.
5. Social and reputation
Sprinklr describes its service product as an AI-native contact centre that brings more than 30 voice, social and digital channels into one place, aimed at large enterprises. Birdeye appears on G2 under online reputation management, for businesses that live on reviews.
6. Customer success
Gainsight appears on G2 under customer success: software that tracks account health and renewals for subscription businesses. It matters most to B2B software companies with account managers.
7. Digital experience and journey analytics
Trengo's list includes Hotjar and Contentsquare, tools that show how visitors use a website, and Qualtrics sells Digital Experience Analytics in the same space. They find the friction that later turns into support conversations.
Customer experience automation platforms
A customer experience automation platform takes the repeated work out of the conversation itself. In practice that means four things: an AI agent that answers and acts on common requests, guided flows that walk a customer through a choice with buttons, messages triggered by an event such as a booking or an order, and broadcasts to customers who agreed to hear from you.
The search results for this term are mostly AI chatbot vendors, and the test that separates them is simple. Ask whether the automation can finish the job, booking the appointment or opening the ticket, or whether it only collects details for a person to act on later. Both have a place, but they are different products.
How AI is changing customer experience software
Every vendor page we read names AI. Zendesk, Intercom, Freshdesk, Sprinklr and HubSpot all name AI agents or AI copilots on their product pages, and Qualtrics and Medallia use AI to analyse feedback. Customer experience AI is splitting into two jobs: agents that talk to customers, and analysis that reads what customers said.
For a buyer, the questions that matter are practical. What does the AI answer from: your own documents, or general knowledge? What happens when it does not know? Can a person take over the same conversation without the customer repeating themselves? And how is the AI billed: per seat, per outcome or from a fixed allowance?
Best customer experience software by need
There is no single best customer experience software. Pick the type that fixes your biggest problem, then the tool in that type that fits your size and channels.
| If your main need is | Start with |
|---|---|
| Measuring satisfaction across an enterprise | Qualtrics or Medallia |
| A support team buried in tickets and email | Zendesk, Freshdesk or Help Scout |
| Sales and service on one customer record | HubSpot Service Hub |
| An AI agent with a helpdesk behind it, priced per outcome | Intercom |
| Customers who write on WhatsApp, Instagram and LINE as much as on the website | HiQBot |
| Many social channels and a large contact centre | Sprinklr |
| Reviews and local reputation | Birdeye |
| Renewals and account health in B2B software | Gainsight |
Where HiQBot fits, and where it does not
HiQBot is conversational customer experience software. An AI agent answers customers on website chat, WhatsApp, Instagram, Messenger, Telegram and LINE from your own documents and product lists, captures and qualifies leads, books appointments and takes orders, and hands the conversation to your team when it should. Around that sit one inbox, guided flows on the messaging apps, WhatsApp broadcasts, a built-in CRM, support tickets, analytics and CSAT ratings after a conversation, and a knowledge base chatbot that says so when your material does not cover a question.
It does not run survey or NPS programmes, journey or session analytics, social listening, review management, customer success health scores, a voice contact centre or email as a chat channel. If those are your main problems, start with one of the other types above, and add a conversational tool when customers start writing to you on WhatsApp and Instagram.
It is tuned for specific industries, including ecommerce, hotels, real estate, SaaS and travel, so the agent asks the questions that trade asks and closes the way it closes.
Omnichannel customer experience on messaging apps
The lists we read mostly skip the channels where many customers now start. G2's category page and Featurebase's list do not mention WhatsApp at all, and LINE, Telegram and Instagram direct messages barely appear anywhere. For a business whose customers message on WhatsApp or LINE, that is where much of the customer experience happens.
An omnichannel customer experience means the customer can switch channels without starting again, and your team sees every conversation in one place. Our guide to omnichannel customer service covers how to set that up, and the omnichannel inbox shows how HiQBot does it.
How to choose customer experience tools
- Name the part of the journey that hurts most: unanswered messages, a slow ticket queue, unknown satisfaction, churn at renewal, or people dropping off your website.
- Pick the type of tool that fixes that part, using the map above, before comparing vendors.
- List the channels your customers actually use, and check each tool covers them on the plan you would buy.
- Ask what the AI answers from, what it does when it does not know, and how a person takes over.
- Check how it bills as you grow: per seat, per outcome, per contact or a fixed allowance.
- Prefer a tool that connects to what you already run, such as your CRM or calendar, over another silo.
Common questions
What is the difference between customer experience software and customer service software?
Customer service software handles individual requests: chats, tickets and replies. Customer experience software is the wider set that also measures how customers feel, tracks their journey and manages accounts. Customer service software is one type of customer experience software.
Is a CRM customer experience software?
Partly. A CRM holds the customer record that every other CX tool relies on, and service hubs such as HubSpot Service Hub add a help desk and surveys on top. On its own, a CRM records the experience more than it shapes it.
How much does customer experience software cost?
It ranges from free plans to enterprise contracts priced by quote. Most helpdesks and service hubs charge per agent seat, some AI agents charge per resolved conversation, and the survey suites we read show no public price. Check each vendor's pricing page on the day you buy.
What is the best customer experience software for a small business?
Start with the problem you can see. If messages go unanswered, a conversational tool or a simple helpdesk does more than a survey suite. If customers write on WhatsApp and Instagram, choose something that answers there, not only on email.
How is AI used in customer experience?
In two ways: AI agents that answer and act in conversations with customers, and AI analysis that reads surveys, reviews and chats to find themes. The first changes what customers experience directly; the second tells you what to fix.
Can one platform do everything?
Not well. Service hubs cover the most ground, but survey depth, journey analytics and social listening usually need specialist tools. Most teams pair a conversational or helpdesk tool with one measurement tool.
